Get started
Go to Sign in and type your email, then press Continue. If you're new you're asked for your name and a password (at least 8 characters), then a 6-digit code we email you. If Google or Microsoft sign-in is offered on the page, you can use that instead.
- Make your first workspace: give it a Name (your company or team) and a Task key — the letters task numbers start with, like ACME-12. Press Create workspace.
- On the Dashboard, admins see a Get started card. Its five steps tick themselves as you do them: create a project, add a few tasks, invite your team, give work a date, and ask the assistant.
- Belong to more than one workspace? Click the workspace name at the top of the sidebar, or choose Switch workspace in your account menu.
Forgot your password? Press Forgot your password? on the sign-in page: a code comes by email, you choose a new password, and every other device is signed out.
Invite your team and choose roles
Members are unlimited on every plan. Only admins can invite.
- Open Team & access in the sidebar. In Invite someone, type the email, pick a Role and press Send invite.
- If the email couldn't be sent, you get the link to send yourself: press Copy invite link.
- An invitation works for 7 days. Pending ones are under Waiting to join, with Send again (a fresh link, another 7 days) and Withdraw.
| Role | What it can do |
| Admin | Everything, including people, roles, billing and webhooks. |
| Project manager | Makes projects, plans and runs sprints, changes workflows and automation. |
| Member | Creates and edits tasks, comments, logs time, books meetings. |
| Viewer | Sees everything, changes nothing. |
Working with a client? Invite them as a Viewer, or share one project without an account: in the project's settings, Sharing has a read-only Public board link and a Request form link that sends tasks into the project. Only the workspace owner can renew, export or delete the workspace.
Turn speech into tasks
Say what needs doing, the way you'd tell a colleague — "Ahmed, fix the login bug by Thursday, it's urgent. Meeting with the client on Sunday at 11." — and it comes back as tasks and meetings, each with who, when and how urgent.
- Open the assistant (the sparkle button at the bottom right of every screen), press + and choose Tasks and meetings from your voice.
- Pick عربي or English, speak, then press Done. Prefer to type? Press Type instead.
- Check What was heard: the project, where the tasks go, and each task's assignee, priority and due date. Untick anything you don't want.
- Nothing exists until you press Create. Discard throws it all away.
No sound is ever recorded or kept — only the words reach us. Voice needs Chrome or Edge; in other browsers, type the sentence instead and it works the same way.
Boards, backlog and sprints
Every project has a Board (cards in columns), a Backlog (the list, and your sprints), a Timeline and Reports — all in the sidebar under Project. All work shows tasks across every project.
Run a sprint
- On the Backlog, press New sprint, give it a goal, and drag tasks into it.
- Press Start sprint. One sprint runs at a time.
- When it ends, press Complete sprint: you see what's done and what's open, and choose where the open tasks go — the backlog or the next sprint. Nothing is marked done for you.
Planning sprints needs the Project manager or Admin role. The Backlog's Export and Import move tasks in and out as a CSV file.
Keyboard shortcuts
Press ? anywhere to see them all. The ones people use most: Ctrl K search and jump, C create a task, Ctrl \ fold the sidebar, F2 rename a card on the board, Esc close.
Calendar and meetings
- A task with a due date shows on the Calendar by itself.
- On Meetings, press New meeting: a title, a start and an end, a place (Room, office or address) and a call link. It can repeat every week or every month. The call link turns into a Join the call button.
- Keys on the calendar: C new event on the day in view, T today, M W D month, week, day.
See it in your own calendar: press Subscribe (the feed icon above the calendar) and paste the link into Google, Outlook or Apple Calendar (in Google Calendar: Other calendars › From URL). It updates on its own. If the link ever gets out, make a new one — the old one stops working.
Bring in an old project
Moving from the project tool you used before? An admin can bring the projects across in one go.
- Open your account menu › Administration › Import old projects. (Admins also find it at the top of the Projects page.)
- Enter your old workspace's address (it ends in .atlassian.net), your email there, and an API token — the page links to where you create one. The token is used for this import only and never stored.
- Press Connect, choose the projects, and tick Bring the attached files too if you want them.
What comes across: projects, tasks and sub-tasks, epics, comments, labels, board columns and files, with assignees, priorities, due dates, estimates and the original task keys. Sprints, work logs and change history don't. Running it again adds and updates — it never makes duplicates.
People from the old tool arrive as names. Invite them from Users, and the Send sign-in emails button lets each one set their own password. Using a different tool? Export it as CSV and use Import on the Backlog.
Two-step sign-in and recovery codes
With it on, a leaked password alone isn't enough: every way in — password, email code, Google, Microsoft, web or phone — also asks for a code from an authenticator app.
- Go to Settings › Security and, in Two-step sign-in, press Set it up.
- Scan the code with Google Authenticator, 1Password, Authy or similar, type the 6-digit code it shows, and press Turn on.
- Save your recovery codes. You get 10, shown only this once — press Copy or Download .txt and keep them somewhere safe.
Lost your phone? On the code screen press Lost your phone? Use a recovery code and type one of them. Each works once; Settings shows how many are left, and Get new codes makes a fresh set (the old ones stop working).
To turn it off, press Turn off and confirm with your password — or with a code from the app if you sign in with Google or Microsoft. Where you're signed in, on the same tab, lists every device and lets you sign any of them out.
Trial, renewing and paying
Every new workspace gets 14 days free with every feature and 1 GB of storage — no card needed. You pay per workspace, not per person, for the storage you need; longer periods cost less. See the prices.
- The workspace owner renews from your account menu › Administration › Subscription. Pick the storage and the length.
- Where the button says Pay, you pay online by card or mobile wallet (Vodafone Cash, Orange, Etisalat, WE) on the payment provider's page, and the workspace renews the moment it clears. To pay by bank transfer instead, press Pay by transfer instead (or Request renewal): you get a reference and the details by email, and we renew it as soon as the money arrives.
- Renewing early adds to the time you have left — nothing is lost. Past payments and receipts are listed on the same page.
Admins are reminded by email and in the app before the end. When the time runs out the workspace closes for everyone until it's renewed. Nothing in it is deleted — it opens again exactly as it was.
Storage
See it in Settings › Storage: how much is used, of how much, and what's left. It counts every file attached to a task, including images in descriptions.
- The owner is told at 80% and again at 95% full.
- When it's full, new files are refused — everything else keeps working. Remove old attachments, or move to a bigger plan from Administration › Subscription.
Delete a project or a workspace, and take your data
A project
The person who created it, or the workspace owner, can delete it from the Projects page (the … menu › Delete project) or from its settings. You confirm by typing the project key. An empty project goes at once; one with tasks waits 24 hours in Archived, with a Restore button, before it's deleted for good with its tasks, comments and files.
A workspace
Only the owner can, from Administration › Subscription › Delete this workspace. It closes for everyone at once; one with work in it can be restored for 24 hours from the workspace list.
Take your data with you
The owner can export everything from Administration › Workspace data — tasks, comments, projects, sprints, calendar and, if you tick it, the files. You're emailed when the file is ready; the download link lasts 7 days.
Notifications and email
Everything for you lands in Inbox in the sidebar and behind the bell at the top. Choose what reaches your email in Settings › Email, for each workspace:
- Someone mentions me · Work is given to me · My tasks move · Something of mine is late · Tasks I watch change
- A summary: one email every morning or every Monday instead of one per change.
On a phone
Open worktaskme.com in your phone's browser and sign in — the app fits the screen, and the sidebar opens from the menu button at the top left. There's nothing to install.
Nothing matches that. Ask us instead — a person answers.
